Modern businesses don’t always need formal meetings every day, so it can be a real pain to have to pay for a meeting space year-round, only to use it once a month. That’s where Capital Space comes to the rescue; we offer meeting rooms which can be hired on an hourly, half-day or day basis, so you don’t have to pay for more than you use. Here are some tips for our customers who are booking a meeting space, to get the most out of their appointment.

The solution to your problem

So, you’ve worked hard to source a new client, you’ve talked with them over the phone to get your points across, you think you’re about to secure the deal, all is going well, when… they ask to meet with you in person to go through some final details. Your voice cracks, you think, while sweating profusely: ‘They can’t come here, my office is too small, my desk is a mess, they won’t think I’m professional!’ You’re stuttering on the phone trying to think up any excuse you can. And then realisation hits you: ‘I can just book a meeting room!’ A wave of relief washes over you and you tell your prospect (a little smugly) that you’ll get back to them with a date, time and place for your meeting.

Although this is a slightly exaggerated example, many small businesses don’t have the space available for a professional meeting room. Luckily, Capital Space Business Centres can provide everything you need for you on a pay-as-you-use system.

Tips for meeting room organisers

Our meeting rooms can be used for a range of purposes; some common examples are interviews, client meetings, training events, conferences and workshops. We offer both small (hosting up to ten people) and large (hosting up to 40 people) meeting room spaces, kitted out with refreshments, internet and audio visual equipment, including PC projectors and projector screens.

Here are some tips to meeting room organisers to make sure you give your visitors the best experience possible:

  • Check out online reviews – These will give you a good idea of whether the meeting room is as good as it’s described by the provider.
  • Book early – avoid disappointment by booking meeting rooms early; this also gives you and your visitor(s) time to prepare.
  • Check out the venue – before your meeting, go and have a look at the venue you’re booking to see what facilities are available and what you need to bring with you. Think about audio and visual equipment as well as catering options.
  • Parking – is parking easily accessible and is it free? All Capital Space business centres have on-site parking.
  • Traffic – how close is the meeting room to the busy roads? Consider booking a meeting room at a time that would avoid rush-hour traffic, especially if you have guests travelling from a distance.
  • Comfort – Arrive early and make sure everything is set up right, adjusting the temperature of the room to make it right for your guests.

If you’re a small business owner and don’t have the space for meetings, don’t worry. Our meeting rooms are easy to book and provide a professional setting for you to conduct your business.  Our business accommodation and virtual office customers enjoy discounted rates, but they are also available for businesses in the areas near our business centres.
