(FAQ) How can I rent a workspace with Capital Space?

A seemingly simple question, though many small business owners and entrepreneurs may have found themselves slightly disillusioned from dealing with dodgy landlords and elusive legal jargon. At Capital Space, however, we aim to make the process of renting with us as simple and transparent as possible, so here are some of our most frequently asked questions about renting offices, workshops and studios with us. 

What makes Capital Space licences different? 

For many SMEs and entrepreneurs, traditional commercial leases can feel restrictive, expensive and difficult to interpret. Capital Space takes a different approach, offering flexible monthly licences designed around business agility and clarity.  

Rather than locking you into long-term commitments, our licences give you the freedom to scale up, move on or adapt your workspace with confidence. This flexibility supports business growth while reducing risk, particularly for small businesses establishing themselves in competitive markets across Essex, Kent, Surrey and Buckinghamshire. 

Equally important is transparency. Our agreements have been uniquely awarded a Crystal Mark by the Plain English Campaign for their clarity, meaning the terms are easy to understand and accessible without legal interpretation. 

What is included? And are there any service, insurance and maintenance charges for a Capital Space commercial unit? 

The monthly licence provides a fixed-cost package that includes: 

  • Superfast internet with full failover 
  • Free parking 
  • Buildings insurance 
  • Maintenance and security 
  • Refuse disposal 
  • Handyperson services 
  • Professional reception support 
  • Cleaning of communal areas 
  • Electricity and heating in most offices 

These integrated services help business owners manage costs while benefiting from modern, efficient workspace environments. You can also access additional support facilities such as discounted meeting rooms when required. 

How much is the deposit to rent workspace with Capital space? 

The deposit required is equivalent to two months’ licence fee and is securely held in a separate account. This deposit is refunded within one month of leaving the business centre, provided there are no outstanding charges or breaches of licence terms. 

If your licence term is six months or less, a £100 administration fee applies. This transparent approach ensures customers know exactly what to expect when budgeting for their business accommodation. 

Can I reserve an office, workshop or studio? 

Yes. If you have found a suitable office, workshop or studio but are not ready to commit immediately, you can reserve it with a £500 deposit for up to one month. 

Should you proceed with the reservation, the £500 contributes toward your main deposit. If you decide not to move forward, £250 of this amount will be refunded. This option gives business owners breathing space to plan next steps without losing the opportunity to finding the perfect home for their business. 

When is rent paid at Capital Space? 

Payments are made via BACS and collected by direct debit. Licence fees are due on the first day of each month, with a direct debit mandate provided when you sign up. 

This streamlined payment method keeps administration simple and predictable, allowing you to focus on running your business rather than managing complicated billing processes. 

What is Capital Space’s minimum length of a licence?  

The notice period is just one month. This applies regardless of how long you have occupied the workspace. 

Such flexibility supports business decision-making and ensures you retain control over your operational commitments. 

Does Capital Space do licence fee reviews? 

Licence fees are typically reviewed annually. Any changes, whether increases or reductions, are communicated with one month’s written notice. 

Adjustments are based on maintaining a fair reflection of the costs associated with delivering services and facilities within the business centre environment. 

Does Capital Space include business rates? 

Business rates are not included within the monthly licence fee. However, you may not need to pay them depending on your unit’s rateable value. If the rateable value is £12,000 or below, you could qualify for Small Business Rate Relief and should contact your local council to confirm eligibility. 

Can I sublet my Capital Space unit? 

Only one business can be named on the licence agreement. However, workspace sharing is permitted provided the named licence holder remains responsible for ensuring all activity complies with the licence terms and centre policies. 

All correspondence and formal matters relating to the unit will be handled with the primary licence holder. 

Can I decorate my Capital Space workspace? 

Yes. You may personalise your workspace in line with your brand identity. 

Written permission must be obtained from the reception team beforehand, and the unit must be returned to its original condition when vacated. This includes repairing any alterations made during occupation.
