Booking a meeting room? Our top tips will help you get the most out of your event

Modern businesses don’t always need formal meetings every day, so it can be a real pain to have to pay for a meeting space year-round, only to use it once a month. Here are some tips for our customers who are booking a meeting space, to get the most out of their appointment.

The solution to your problem

So, you’ve worked hard to source a new client, you’ve talked with them over the phone to get your points across, you think you’re about to secure the deal, all is going well, when… they ask to meet with you in person to go through some final details. Here are some tips to meeting room organisers to make sure you give your visitors the best experience possible:

  • Check out online reviews – These will give you a good idea of whether the meeting room is as good as it’s described by the provider.
  • Book early – avoid disappointment by booking meeting rooms early; this also gives you and your visitor(s) time to prepare.
  • Check out the venue – before your meeting, go and have a look at the venue you’re booking to see what facilities are available and what you need to bring with you. Think about audio and visual equipment as well as catering options.
  • Parking – is parking easily accessible and is it free? All Capital Space business centres have on-site parking.
  • Traffic – how close is the meeting room to the busy roads? Consider booking a meeting room at a time that would avoid rush-hour traffic, especially if you have guests travelling from a distance.
  • Comfort – Arrive early and make sure everything is set up right, adjusting the temperature of the room to make it right for your guests.
